Ninatrans is a family-owned company specialized in time-critical shipments, serving customers in Belgium and abroad. Our drivers are on the road 24/7, which makes following them up just as important as planning the trips themselves. That is why we are creating this role: one fixed point of contact between the drivers, operations, fleet, the garage and HR, who also gives our fleet follow-up (safety, technical compliance and damage) a more professional and more data-driven structure.
Getting new drivers started and following them up. You run the introduction meeting with every new driver: on-board computer, expectations around driving behaviour and fuel consumption, how damage and fines are handled, correct use of the tail lift, pallet trucks and lashing straps, and our code of conduct. You guide them through the first weeks and sit down with them again after three months. You report back to HR in time, so we can make adjustments before the probation period ends.
Handling damage and fines. You find out who caused damage and link it to the driver, together with fleet, operations and the garage. You process incoming fines: identify the driver, assign, register, report back. You build a record that shows where the pattern lies, and you follow up with the drivers where it keeps returning.
Keeping vehicle inspections on track. You maintain a rolling schedule of the expiry dates of tractor units and trailers, make sure they go for inspection on time, and raise it with operations when that comes under pressure.
Following up subcontractors. You run the introduction meeting with our charter partners and guide them. You report your findings to the responsible person within operations.
Keeping the systems up to date. You keep the fleet management system and the transport management system current and safeguard the link between driver, vehicle and employee number. You report monthly to operations, fleet and management: where we stand, what stands out, what needs to happen.
Managing our external coaching partner. You are the single internal point of contact: you supply the data, put the group of drivers together with operations, arrange their availability and make sure the agreed results are delivered.
You report directly to the CHRO and get a clear mandate: access to all relevant data, the authority to formally address operations on what is left undone, and a fixed weekly time block that does not get swallowed up by day to day pressure. You help build this role: in the first months we will set up the records together and clear the backlog.
